A folder for every record
When a record is created in a chosen module, the system can create a matching WorkDrive folder automatically — no manual setup, no “we’ll file it later.” You control which modules get folders: deals and projects yes; lightweight lookup modules maybe not. The folder exists before staff need it, named and linked from the start.
Two-way data bind
We create a data bind between the Zoho record and the WorkDrive folder. WorkDrive knows which record it is linked to. Zoho knows which folder belongs to that record. That link is the foundation for everything else — attach, rename, delete, search and automation all hang off one authoritative connection instead of ad hoc links nobody maintains.
Drag, drop, attach — stay in sync
Staff drag a file into the WorkDrive folder linked to the record; it attaches to the correct Zoho record without a separate upload step. Rename the file in WorkDrive and the name updates in Zoho. Delete it in WorkDrive and it is removed from the record. File changes stay in sync across the system — not two copies drifting apart.
Naming templates programmed in
Renaming files and following a prescribed template is tedious when done by hand — but easy when programmed. Append the record number, customer or client name, job reference or other fields to the file name so searching actually works. Choose the correct naming template based on the module and/or file type, so quotes, invoices, photos and compliance documents each follow rules that make sense for how your business files work.
Files that update the record
Uploads can do more than sit on the attachment list. Extract data from files based on file type or file name — and automatically update the record based on what was uploaded. A supplier PDF might populate a date or reference; a consistently named proof file might trigger the next workflow stage. The exact rules depend on your process; the principle is the same: the file is input to the system, not just storage.
Generation when the workflow needs a document
Where the process requires a produced file — custom PDFs, labels, picklists, instruction sheets, packs — we generate from record data and keep the output linked back to the record it belongs to. Print automation can trigger from workflow stages so the right document exists at the right step, not recreated manually each time.
